Accepting Website RFPs

Proposals will be accepted by the city until November 21, 2022 by 3:00 pm. They are to be submitted to the attention of the City Clerk, City of Hiawatha, 701 Oregon, Hiawatha, KS 66434 and must state on the envelope “Website Proposal”. The City reserves the right to reject or refuse all proposals submitted.

INVITATION FOR PROPOSALS

TO UPDATE AND REDESIGN CITY OF HIAWATHA WEBSITE.

  The City of Hiawatha is soliciting proposals for the updating and redesign of the City’s website.  The requirements for the new site are enclosed.  Proposals must include a timeline for project completion, cost for the development of the site, examples of current sites that have been designed by your organization, and a mock-up and proposed site map for the new site.

Website Development

City of Hiawatha,KS

  1. Overview

    The City of Hiawatha currently has an existing web presence.  We are hoping to improve and expand this presence through the redesign of our site.  The site would need to be accessible on all browsers; mobile accessibility; be ADA Compliant; user friendly for residents; and easily editable for staff users.  The Business Directory would need the capability to create a separate Licensed Professional’s Listing.  Guaranteed Customer Service response time would have to be within 24 hours.

  2. Organization Profile

    The City of Hiawatha is a growing progressive community of over 3,000 residents.  We offer municipal utility services, recreation programs, and community facilities that are available to the public.

  3. Intended Audience

    The intended audience is local residents, businesses and industrial site selection groups seeking to locate businesses in similar communities, former residents and local businesses.  The site needs to be easily navigable.

  4. Similar Websites

    Websites that currently exist for other municipalities that have been identified as having characteristics that are desired include: https://www.cityofhillsboro.net/ for Hillsboro, Kansas; https://www.camdentoncity.com/ for Camdenton, Missouri; or https://cityofatchison.com/ for Atchison, Kansas

  5. Samples

    Our current website will give you a good idea of the items that are currently required for our site: www.cityofhiawatha.org.

  6. Technical Requirements

    The site needs to contain a content management system that will allow by permission individuals to update the site content.  The site needs to be hosted externally from the city with an availability requirement of at least 98%.  We would like the availability to develop forms that can be completed on-line for different activities and registrations.  The site needs to be both PC and Mac compatible for updates.

  7. Front-End Requirements

    The City of Hiawatha is known as the City of Beautiful Maples; this is a theme that needs to be integrated into the design of the site.

  8. Budget and Time Requirements
The sooner that we can improve our web image and presence the better for the community.  I believe that with the information that is readily available on the current site this project should not take more than 45 days to complete.  The external organizations sites would be negotiated separately with the individual groups but potentially completed in a similar if not concurrent timeframe.

The City of Hiawatha reserves the right to refuse any and all bids and or waive any irregularities in this bid. All bidders must agree that any such rejection and or waiver shall be without liability on the part of the City of Hiawatha, Kansas for any damage or claim brought by any bidder because of such rejections and or waivers nor shall bidders seek any recourse of any kind against the City of Hiawatha, Kansas because of such rejection and or waivers, and the filing of any bid in response the invitation and request for bids shall constitute an agreement to the bidder to these conditions.
